Modern systems use features like data deduplication to avoid storing the same file over and over again. In practical terms, that means the system keeps just one version of a document even if it’s sent to multiple employees.

The result? Storage needs can decrease by 15–20%, saving a medium-sized business roughly MYR 7,000 a year or more if regulations require keeping data for extended periods.

Control Licensing Costs

Licensing is often the silent budget killer of cybersecurity projects.

Take a typical setup: a Windows Server Standard Edition license runs about MYR 4,700, plus MYR 220 per user. Scaled to a 1,000-employee organisation, that amounts to roughly MYR 226,000 spent solely on the operating system.

Add database licenses, such as Microsoft SQL Server, which can cost another MYR 92,000 to MYR 97,000, and the total cost of deployment can easily double.

The smarter move? Look for DLP vendors that support open-source solutions like Linux and PostgreSQL. Both are widely used in enterprise environments and offer rock-solid stability. PostgreSQL, in particular, is capable of handling complex data structures at zero licensing cost.

By going open-source, many companies in the region are trimming tens of thousands of ringgits from their annual IT spend, without compromising security or performance.

Don’t Let Deployment Eat Your Budget

Installing and configuring a DLP system isn’t an overnight job. Without proper support, the process can stretch out for weeks or even months.

Here’s the problem: most software licenses have fixed expiration dates, regardless of when the system goes live. So, every day spent on setup eats away at your paid license period. A two-month delay can mean losing up to 15% of your license’s value before the system is even operational.

On top of that, some providers provide deployment support only for large enterprises or charge extra for deployment, leaving smaller firms to figure things out themselves. A vendor that offers implementation assistance and has local support service can save you both time and money, sparing your team plenty of headaches.

Keep It Running Efficiently

Once your DP system is up and running, the goal shifts from deployment to efficiency.

An advanced platform can automate much of the routine work your IT security team handles. With the right tools for analytics and policy automation, a single cybersecurity analyst can effectively monitor up to 1,500 workstations, saving a company as much as MYR 11,000 a month in staffing costs for the employment of an additional analyst.

Some modern DLP systems also come with built-in AI-powered image recognition tools to detect sensitive data in images. That eliminates the need for third-party tools like ABBYY FineReader Server, which costs roughly MYR 9,700 a year for a corporate license.

The takeaway is simple: a well-implemented DLP system does more than prevent data leaks. It streamlines operations and boosts the efficiency of information security analysts.

Make DLP a Strategic Investment

A carefully chosen DLP system can save up to MYR 323,000 upfront and around MYR 18,480 each year in operational costs. That’s money better spent on innovation and growth but not on software fixing and operational maintenance.

When evaluating solutions, keep these priorities in mind:

· Open-source compatibility. Linux and PostgreSQL dramatically cut software licensing costs.

Effective data protection today is more than just security. It’s about turning technology into a cost-saving tool that protects both information and profitability.
